Subscription Terms and Conditions
Effective from: 1 August 2026
- These Subscription Terms and Conditions apply to registration and subscription payments made to Cottingham Rangers AFC, referred to in this agreement as “the Club”.
- Where the player is under 18, “you” means the player’s parent or legal guardian. Where the player is aged 18 or over, “you” means the player or the person accepting responsibility for their payments.
- By accepting these Terms and Conditions and setting up or making a payment, you confirm that you have authority to enter into this agreement and accept financial responsibility for the named player.
Before accepting this agreement, please note:
- Matchday players pay an annual league-registration fee and a monthly Club subscription.
- Training-only players pay a monthly Club subscription but do not pay the annual league-registration fee unless they subsequently join a matchday squad.
- At least 30 days’ written notice must be provided when a player leaves the Club.
- Monthly subscriptions remain payable during the 30-day notice period.
- A reduced monthly subscription may apply where a player is unable to participate because of a long-term injury.
- Payment of the agreed long-term injury subscription allows the injured player to retain their place within their existing team or squad while they recover.
- Club-owned training kit, match kit and equipment must be returned when the player leaves.
- The annual league-registration fee will normally be non-refundable once the player’s registration has been submitted and the associated costs have been incurred.

1. Types of Payment
- Cottingham Rangers AFC operates two separate types of payment.
1.1 Annual league-registration fee
The annual league-registration fee is a once-yearly payment for players who are registered to participate in league matches for Cottingham Rangers AFC.
The fee contributes towards the costs associated with registering and administering the player for matchday football, including relevant league, County FA, affiliation and Club administration costs.
The annual league-registration fee:
- applies to players registered as matchday players;
- does not apply to players who remain registered on a training-only basis;
- becomes payable if a training-only player subsequently joins a matchday squad; and
- must normally be paid before the Club submits or completes the player’s league registration.
Once the player’s registration has been submitted and the Club has incurred the associated registration costs, the annual league-registration fee will normally be non-refundable.
If the Club is unable to complete the player’s registration, any part of the payment that has not already been committed or incurred will be refunded.
1.2 Monthly Club Subscription
The monthly Club subscription contributes towards the Club’s overall running costs, including:
- Training and match facility hire;
- League, County FA and affiliation costs;
- Insurance;
- Footballs and other equipment;
- Coaching and volunteer-development costs;
- Club systems and administration; and
- Other reasonable costs involved in operating a grassroots football club.
The monthly subscription is not a payment for an individual training session, match, tournament or event.
The applicable monthly subscription rate will depend on the player’s membership category, which may include:
- Matchday squad membership;
- Training-only membership;
- Sibling membership; or
- Long-term injury membership.
The applicable rate and payment schedule will be displayed when the subscription is created or confirmed by the Club.
2. Responsibility for payments
- You are responsible for paying the fees associated with the named player.
- You must ensure that the payment information supplied is accurate and remains valid.
- You must ensure that sufficient funds are available when each payment becomes due.
- Monthly subscription payments will continue at the agreed frequency until:
the player leaves the Club in accordance with section 9;
the Club ends the player’s membership;
the player’s membership category changes; or
the subscription is otherwise ended by agreement with the Club.
- Cancelling a card instruction, Direct Debit or other recurring payment does not cancel the player’s membership or remove responsibility for amounts properly due under this agreement.
- You should contact the Club if you believe that a payment has been collected incorrectly.
Please note: cancelling your Direct Debit doesn’t cancel your child’s membership.
If you cancel or amend your card or Direct Debit instruction without telling the Club and agreeing to end your child’s membership, your child’s place isn’t automatically withdrawn — and you’ll still owe any subscription fees that were due. If you need to cancel, please contact the Club first at accounts@cottinghamrangers.co.uk so we can process it properly and confirm you owe nothing further.
3. Changes to a player’s membership category
- A player’s membership category may be changed where this is agreed with the Club.
- If a training-only player joins a matchday squad:
the annual league-registration fee will become payable;
the player’s monthly subscription may be changed to the applicable matchday rate; and
the player will not normally be eligible to participate in league matches until the required registration has been completed.
- If a matchday player moves to training-only status, the change must be agreed with the Club and the monthlysubscription will be adjusted from the date confirmed by the Club.
- A change of membership category is not automatic and will depend on factors including:
squad availability;
coaching arrangements;
player development;
the needs of the team; and
applicable league and registration requirements.
- A move to the long-term injury subscription will be managed in accordance with section 6.
4. Failed and overdue payments
- If a payment fails or becomes overdue, the Club will normally contact you and provide a reasonable opportunity to bring the account up to date.
- You should resolve a failed payment as soon as possible or contact the Club if there is a problem.
- Where payments remain overdue, the Club may temporarily prevent the player from:
attending training;
playing in matches;
participating in tournaments or other Club events; or
registering with the Club for a subsequent season.
- The Club may cancel the player’s membership where payments remain outstanding after reasonable reminders have been issued.
- Ending the player’s membership does not remove responsibility for subscription payments or other charges that became due before the membership ended.
- The Club will not impose an arbitrary penalty for a failed payment. However, you may be responsible for a reasonable charge that directly reflects a cost incurred by the Club because of the failed payment, provided that the charge is explained to you.
5. Financial difficulty
- Parents, guardians and adult players experiencing financial difficulty should contact the Club as soon as possible.
- The Club will consider requests confidentially and may, at its discretion, agree:
a temporary payment arrangement;
a revised payment date;
staged repayment of an outstanding balance; or
another reasonable arrangement.
- Any alternative arrangement must be agreed and confirmed by an authorised Club representative.
- The Club cannot guarantee that financial assistance or an alternative payment arrangement will be available.
- A payment arrangement does not write off the outstanding balance unless the Club expressly confirms this in writing.
6. Cancelled activities, absence, injury and non-selection
- Monthly subscriptions contribute towards the overall cost of operating the Club throughout the season. They are not calculated according to the number of sessions, matches or events attended by an individual player.
- A refund or reduction will not normally be given because of:
cancelled or postponed training sessions;
postponed or cancelled matches;
adverse weather or unsuitable pitch conditions;
general player absence;
holidays;
short-term illness or injury;
school or family commitments;
non-selection for a match or tournament;
the player choosing not to attend; or
circumstances outside the Club’s reasonable control.
Long-term injuries
- Where a player is unable to participate because of a long-term injury, the Club will normally reduce the player’s monthly subscription to the applicable long-term injury rate.
- A long-term injury reduction must be agreed with the Club and will not be applied automatically.
- The parent, guardian or adult player must notify the Club as soon as reasonably possible if the player is expected to be unavailable for an extended period because of injury.
- The Club may request reasonable information about:
the nature of the injury;
when the injury occurred;
the expected period of absence; and
when the player is expected to return to football.
- The Club will not normally require detailed confidential medical records. However, it may request reasonable confirmation where this is necessary to administer the reduced subscription.
- The reduced subscription will normally apply from the date agreed with the Club. It will not usually be backdated to cover payments collected before the Club was notified of the injury.
- The long-term injury subscription will remain payable while the player remains registered as a member of the Club.
- The purpose of the long-term injury subscription is to allow the injured player to retain their place within their existing team or squad while they recover.
- Provided that the agreed long-term injury subscription continues to be paid and the player remains registered with the Club, the player’s place within their existing team or squad will be retained during the agreed injury period.
- The protection of the player’s squad place is subject only to:
the team or squad continuing to operate;
the player’s membership not being suspended or ended under section 11;
applicable FA, County FA or league rules; and
any exceptional circumstances that make it impossible for the Club to continue providing the place.
- The Club may periodically review the player’s circumstances to confirm the expected recovery period and likely return date.
- The normal monthly subscription rate will resume when:
the player returns to training;
the player returns to matches;
the agreed injury period ends; or
another return date is agreed with the Club.
- The parent, guardian or adult player must tell the Club promptly when the player is ready to return.
- The annual league-registration fee will not normally be reduced or refunded because of injury where the player’s league registration has already been submitted and the associated costs have been incurred.
- The Club may also consider an appropriate subscription reduction or temporary arrangement in other exceptional circumstances, including serious illness or safeguarding concerns.
7. Refunds
- Monthly subscription payments already made are normally non-refundable except where:
the Club has made an error;
the payment relates entirely to a period after the player’s membership has ended;
the Club is unable to provide the agreed membership;
the Club agrees that exceptional circumstances justify a refund; or
a refund is required by law.
- The annual league-registration fee will normally be non-refundable once the player’s registration has been submitted and the related costs have been incurred.
- Where a refund is agreed, the Club may deduct reasonable costs that have already been incurred specifically for the player.
- Any deduction will reflect the Club’s reasonable costs or loss and will not be used as a penalty.
- A reduction under the long-term injury provisions will normally be applied to future monthly subscription payments rather than by refunding payments that have already been collected.
8. Changes to subscription fees
- The Club may review its annual league-registration fee and monthly subscription rates.
- The annual league-registration fee applicable to each season will be communicated before registration or displayed when payment is requested.
- The Club will provide reasonable advance notice before increasing an existing monthly subscription.
- Where the monthly subscription increases, you may give notice to end the player’s membership before the new rate takes effect.
- Continuing the subscription after the notified effective date will be treated as acceptance of the new rate.
- The Club may reduce or otherwise alter the monthly payment where:
the player’s membership category changes;
a long-term injury rate is agreed;
a sibling rate becomes applicable or ceases to apply; or
another payment arrangement is agreed.
9. Leaving the Club
- If a player wishes to leave Cottingham Rangers AFC, you must provide the Club with at least 30 days’ written notice.
- Notice must be submitted:
through 360Player; or
by email to accounts@cottinghamrangers.co.uk.
- The notice period will begin on the date the written notice is received by the Club.
- Telling a coach verbally, ceasing to attend or cancelling the recurring payment instruction does not, by itself, constitute notice.
- Monthly subscriptions remain payable during the 30-day notice period, whether or not the player attends training sessions, matches or other Club activities.
- Depending on the date notice is received and the normal payment date, one further monthly subscription payment may become due during the notice period.
- No further monthly subscription payment will normally be collected after the notice period has ended.
- Where a payment clearly relates entirely to a period after membership has ended, the Club will refund or adjust that payment as appropriate.
- The Club may agree to waive or reduce the notice period in exceptional circumstances, including:
serious injury or long-term illness;
relocation outside the area;
significant financial hardship;
safeguarding concerns; or
circumstances in which the Club is no longer able to offer the player an appropriate place.
- Any outstanding subscription payments or other amounts properly due must still be paid after notice is given.
- Where a player receiving the long-term injury subscription decides to leave, the 30-day notice period will still apply unless the Club agrees to waive or reduce it.
10. Return of Club-owned kit and equipment
- Any match kit, training kit, tracksuit, jacket, coat, bag or other equipment issued to a player on loan remains the property of Cottingham Rangers AFC unless the Club confirms otherwise in writing.
- When a player leaves the Club, all Club-owned kit and equipment must be returned to the team manager or another nominated Club representative.
- Club-owned items must normally be returned:
at the player’s final training session, match or Club activity; or
within 14 days of the player’s membership ending,
unless another return date has been agreed with the Club.
- Kit must be returned clean and in a reasonable condition, allowing for fair wear and tear resulting from normal use.
- Club-owned kit and equipment must not be:
sold;
given to another person;
permanently altered without permission;
deliberately damaged; or
disposed of.
- Where Club-owned kit or equipment is not returned, is lost or is damaged beyond reasonable wear and tear, the Club may request payment of the reasonable replacement cost.
- Before requesting payment, the Club will identify the outstanding or damaged item and explain the replacement amount.
- Any replacement charge will reflect the Club’s reasonable cost or loss and will not be imposed as a penalty.
- This section does not apply to kit or equipment that the player or parent purchased and owns.
- Returning Club-owned kit does not, by itself, constitute notice that the player is leaving. Written notice must still be provided under section 9.
11. Suspending or ending membership
- The Club may suspend or end a player’s membership where:
subscription payments remain outstanding;
Club-owned kit or equipment is deliberately retained or misused;
the player, parent, guardian or associated spectator seriously or repeatedly breaches a Club Code of Conduct or policy;
there is a safeguarding or welfare concern;
continued participation presents a safety risk;
the Club is instructed to act by The FA, County FA or a league; or
there is another substantial reason affecting the proper operation of the Club.
- Where appropriate, the Club will explain the concern and provide an opportunity to respond.
- The Club may take immediate temporary action where it reasonably considers this necessary to protect a child, volunteer, member or other person.
- Where the Club ends the membership, monthly subscription payments will stop from the effective termination date.
- The Club will consider an appropriate refund for any monthly payment that relates entirely to a period after the Club has ended the membership.
- Ending membership does not remove responsibility for amounts that were properly due before the membership ended.
- Any Club-owned kit and equipment must still be returned where the Club suspends or ends the player’s membership.
12. Online cancellation rights
- Where this agreement is entered into online or at a distance, you may have a statutory right to cancel the agreement within 14 days of entering into it.
- By requesting that the player’s registration, membership, training or other Club services begin during that 14-day period, you expressly request that the Club starts providing the service immediately.
- If you cancel after the Club has started providing services, the Club may retain or request a reasonable and proportionate amount for:
services already provided;
registration activity already completed; and
costs already incurred specifically for the player,
where permitted by law.
- Where the annual registration service has been fully completed following your express request, the right to cancel that completed service may end to the extent permitted by law.
- Nothing in these Terms and Conditions affects your statutory consumer rights.
13. Payment providers
- Payments may be collected through 360Player or another payment platform or payment-processing provider selected by the Club.
- Your use of a payment provider may also be subject to that provider’s own terms and privacy information.
- The Club is not responsible for a payment failure caused by:
incorrect payment information;
insufficient funds;
a bank or card issuer;
an expired or cancelled card; or
a payment-platform interruption outside the Club’s reasonable control.
- You remain responsible for checking that payments have been completed successfully.
14. Personal information
- The Club will use personal information associated with subscriptions for purposes including:
administering the player’s membership;
collecting and reconciling payments;
contacting you about failed or overdue payments;
maintaining financial and membership records;
completing player registrations; and
complying with legal, insurance and regulatory requirements.
- Personal information will be handled in accordance with the Club’s Privacy Notice.
- The Club’s Privacy Notice, explaining how we collect, use and store your and your child’s personal information, is available at www.cottinghamrangers.co.uk/privacy or on request from accounts@cottinghamrangers.co.uk.
- Medical information relating to a long-term injury will only be requested and used where reasonably necessary to administer the player’s membership, subscription and protected squad place.
15. Communications
- The Club may send subscription notices, payment reminders and changes to these Terms and Conditions through:
360Player;
email;
another approved Club communication system; or
a combination of these methods.
- You are responsible for keeping your contact details current and checking messages sent through the Club’s approved systems.
- A notice will normally be treated as received when it is sent to the latest contact details provided to the Club.
16. Changes to these Terms and Conditions
- The Club may amend these Terms and Conditions where reasonably necessary to reflect:
changes in legislation;
changes to FA, County FA or league requirements;
changes to payment providers or Club systems;
changes to the Club’s subscription arrangements; or
changes to the way the Club operates.
- Material changes will be communicated before they take effect.
- Changes will not be applied retrospectively to create an unexpected charge for a period that has already passed.
- The latest version will be available through the Club’s website, 360Player or another appropriate Club system.
17. General provisions
- If any part of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions will continue to apply.
- A delay by the Club in enforcing a provision does not mean that the Club has waived its right to enforce it later.
- These Terms and Conditions do not create an employment, agency or professional coaching relationship between the Club and the player, parent or guardian.
- These Terms and Conditions are governed by the laws of England and Wales.
- Nothing in these Terms and Conditions limits any legal rights that cannot lawfully be excluded or restricted.
